An earlier ceremony
An earlier ceremony. With a ceremony at 12:00, the wedding meal starts at 14:30 and cake at 18:00. If the evening ends at the same time as with a 14:00 ceremony, the day is two hours longer and needs an afternoon break for guests and the couple. A later ceremony pushes the hot buffet and evening activities into nighttime quiet hours.
Steps
How to build the timeline.
Fixed points first, then transitions and buffers, and finally people. The timeline is ready only when you know who is responsible for every row.
Enter the fixed points
The ceremony time confirmed by the registry office or parish, meal times agreed with the kitchen, and when music ends under the venue contract. Build everything else around them.
Allow buffers between blocks
Moving guests, congratulations and group photos take longer than they seem. Allow 15 to 30 minutes between blocks depending on guest count and distance. Without buffers, a ceremony delay carries through to the evening.
Use a list for group photos
Give the group list (bride's family, groom's family, witnesses, friends) to the photographer and one person who gathers the groups. At a large wedding, you can move congratulations to the tables.
Light and sunset
For couple portraits, check sunset for the specific date and location. Summer evening light comes after the wedding meal; in winter, it is already dark in the afternoon.
A person and location for every item
Who seats guests, who cues the music, who tells the kitchen about a delay. No one watches an unnamed item on the wedding day.
Wet-weather plan with a fixed decision time
Where the ceremony moves and who decides. Set a firm decision time, such as two and a half hours before the ceremony, so equipment and decorations can be moved. For a civil ceremony outside the ceremony hall, discuss the backup location with the registry office too.
Evening and nighttime quiet hours
Czech law sets nighttime quiet hours from 22:00 to 6:00, with exceptions a municipality may set by ordinance (Section 5(7) of the Act on Certain Misdemeanors). Discuss outdoor music after ten with the venue in advance, and record when activities move indoors in the timeline.
Timeline in the Kruspin app
One timeline, a version for everyone.
Timeline items have a time, location, vendor and note. Each vendor receives their own timeline with the relevant information from one plan.
Time, schedule, vendors, location
The “Ceremony sound and microphone check, 12:15–12:30” row also holds the location, vendors and a team note.
Internal only or also for the client
Mark operational items such as the barn reset or bar handover to the evening shift “Internal only”. The client sees only the schedule you make available.
A separate vendor timeline
The DJ's document includes the client-visible schedule plus internal items assigned to the DJ. It excludes other vendors' internal notes and prices.
Several days in one plan
Friday, Saturday and Sunday in one timeline, as a list by day or in the calendar.

Who manages the timeline on the wedding day?
One person: the coordinator or a designated witness or friend. They need contact details for every vendor and the current timeline, not the one on the invitation.
